2019 MI Sales Tax Express Updates

Date: January 14, 2020

Program: MI Sales Tax Express 2019

Subject: Update Version 19.4

Dear TaxTime USA, Inc. Customer,

  • This update fixes the Payment Voucher that prints from the Annual Return. Previously the year was incorrectly printing as 2018; this update now correctly prints the year as 2019.

  • This update also fixes an error message that may have come up when accessing the Form 447 via the Reports Menu for the W-2/1099 Transmittal form.

  • This update also includes Update 19.3

  • Update 19.3 updates the W-2/1099 Transmittal Form 447 that can be used to send W-2 and/or 1099’s to the State via CD. As a reminder, the State does not allow W-2’s or 1099’s to be attached electronically to e-filed Annual Returns via our software. Paper filed Annual Returns also cannot include W-2’s or 1099’s; they must separately be sent to the State with a cover sheet indicating which Company(s) are attached. Our software does include a cover sheet and can be found by selecting: Reports and then Paper W-2/1099 Report. A screen then opens up allowing you to select which Company(s) are to be included. You must enter a number of W-2/1099’s on Line 17 for the Company to be included in the report.

  • Our 2019 software now automatically checks for any updates when going into the program and if it finds any it will ask whether or not the update should be loaded. If you disabled auto update (this feature can be found in Setup/Configuration and then clicking on the General Tab; near the top right of the screen there is a check box: Always check for updates when going into program) then download the update following instructions below. If you allowed for Auto Update you can check to make sure you are now using Version 19.3 by clicking on Help and then About.

Prior Year MI Sales Tax Express Updates - 2017

Date: January 11, 2018

Program: MI Sales Tax Express 2017

Subject: Update Version 17.5

Dear TaxTime USA, Inc. Customer,

  • This update now allows users to attach W-2's from other software vendors when e-filing an Annual Return. Previously an error message was displaying during Validation of the W-2 file.

  • As a reminder, attached W-2 files must be SSA EFW2 compliant; 1099's cannot be attached and/or submitted with the Annual Return. Also, PDF files are not submittable to the State either through e-filing or on CD-ROM. The Form 447 Transmittal cover page can only be used when submitting W-2's or 1099's on CD-ROM in compliant format (SSA EFW2 for W-2's and IRS Pub 1220 for 1099's). If using Form 447 and enclosing a CD-ROM you must submit separate CD-ROMS's and Form 447 for W-2's and 1099's. The State allows for multiple Company’s on the same CD-ROM. Follow Form 447 instructions for complete filing requirements. Click here for a link to the State's Form 447, including instructions

  • If you are e-filing an Annual Return but paper filling W-2's and/or 1099's do not use their Transmittal Form 447, instead provide a cover sheet that includes your Company Name and Address and a list of the included W-2's/1099's Company Names, Addresses and FEIN's and mail the W-2/1099 copies to:

    Michigan Department of Treasury
    Sales, Use and Withholding
    Lansing, MI 48930

  • Update 17.4 Information(included in Update 17.5)
  • This update removes the UNDER CONSTRUCTION water mark from the printed Annual Return and also allows for e-filing of the Annual Return.

  • NEW FOR 2017 – this update allows for attachment of W-2 files with the e-filing of Annual Returns. The W-2 files must be in SSA EFW2 format and must contain only that Company’s W-2 data. (See below)

  • NOTE – Annual Returns may occasionally have penny rounding balances due or overpaid. This is because our program calculates the annual sales and use tax amounts based on the Annual Taxable Amounts and compares it with payments made during the year. This is a State requirement and they understand the possible rounding amounts and have told us that they do not send bills or refunds for amounts less than $1, therefore it is not required to pay amounts due if less than $1.

  • Annual filers: To prepare an Annual Return for a once a year annual filer please mark the return as “Annual” from the General Information screen, Filing Status drop down box . Select the Sales & Use Tax Worksheet from the Select Screen drop down to enter the Annual information; after completing the data entry in the Sales & Use Tax Worksheet screen then select the Annual Return drop down from the Select Screen and your data will auto fill. If you will be e-filing this return you will do so from the Annual Return screen, not the Sales & Use Tax worksheet screen.
NOTE – If you follow the above procedure the Annual Return screen will need overrides for the Payment amounts to reflect -0- paid so that all amounts due will properly show on the returns and as amounts due and payable. NOTE – Annual filers with Vehicle Dealer returns cannot be e-filed with our software because the State does not have the specifications for this. The only way to file Annual Returns with a Vehicle Dealer Form 5086 is to file on the State’s MTO site.

    Tax Collected in Excess:
If you entered any amounts for Tax Collected in Excess in the monthly screens they were not to be paid until the filing of the Annual Return and will be shown on line 8. Line 8 must be a positive amount, not negative.

    Gasoline Retailers and/or Vehicle Dealers:
You may find that the Annual Return, line 12a, has amounts greater than the taxes due on line 11a. In these cases it may be because the taxpayer has prepaid and/or has credits greater than the liability when all the months are summed up. In these situations the State may have applied these excess sales tax amounts as payments to other taxes that were reported on a month by month basis: Use Tax, Withholding Tax and/or Use Tax Purchases. If by the filing of the December monthly return there are no credits showing on that return, and all payments were paid during the year, then the Annual Return should show a zero balance due, subject to any penny rounding amounts and / or adjustments being made on the Annual Return. If the December monthly return has a credit balance, that same overpayment should also be shown on the Annual Return.

    Overrides:
We have provided for overrides on the Annual Return. Please review the Annual Return carefully before filing.

E-filing Annual Return with W-2’s attached (the State only accepts W-2’s with e-filed Annual Returns, not 1099’s):
When you click on the e-file button on the Annual Return screen a question will come up: Do you wish to attach W-2 file? Click Yes to attach that Company’s W-2 file or No if you are not attaching W-2’s. If you are using our W-2/1099 Express program the W-2 file should have already been created and ready for attachment. Follow our instructions for our W-2/1009 program when creating those files. (The file to attach will always be the .txt file and not the .zip file). If you are using other software to create the W-2 .txt file please make sure it is in SSA EFW2 format. If you clicked Yes a browse window will open; navigate out to where the file is located and select that file.

E-filed Annual Returns without W-2’s and filing of 1099’s:
This year’s program can attach W-2 files to an E-filed Annual Return (see above). The State does not accept 1099’s with e-filed Annual Returns, only W-2’s. Included in our software is the State’s Transmittal Form 447 which the State has told has can be used as the cover sheet for CD-ROM filings of W-2’s/1099’s. Please note that the State requirement is to use separate CD-ROMs and Form 447 for W-2’s and 1099’s. CD-ROM formats must be in SSA EFW2 format for W-2’s and IRS Pub. 1220 format for 1099’s. Pdf files on a CD-ROM will not be accepted by the State. Form 447 can be accessed from the Report menu; select Report, then select W-2/1099 Transmittal Form. Select either you as the Preparer if you plan on filing on behalf of your clients, or Client if each client will be sending in their own W-2/1099’s. If you choose "Preparer" then your Firm information will display in Part 1. If you choose "Client" a drop down box will display; select that client, their Name, Address and FEIN will then display. Paper copies of W-2’s or 1099’s cannot use this transmittal form, rather they should be mailed to a separate address. This information is provided in our software from the above W-2/1099 Transmittal Form screen.

If you are filing as the Preparer:
    - if you are filing for multiple Employers then select each one from the next section on the screen (Company Name list) and transfer them to the right hand side of the screen.
    - if you are doing one Transmittal for each Employer then just select that one Company.

If you are having your client files as the Transmitter:
    - select that same Company Name from the Company Name list and transfer to the right hand side of the screen.
Fill in the rest of the top section of the screen which will complete Part 1: Type of Submission, Type of data (W-2's and 1099's must be submitted using separate Transmittal Form 447), number of employees being reported, Contact Name and Title. Then use the right arrow to select all the Companies that will be included in the filing (the selected Companies will print below Part 3, at the bottom of the Form. We auto fill the necessary fields in Part 2 and 3. The mailing address is on the form. Print the transmittal form and attach all necessary W-2/1099’s. NOTE – a separate Form 447 must be used for W-2’s and 1099’s; they cannot be filed together.

Prior Year MI Sales Tax Express Updates 2015

Date: December 31, 2015

Program: MI Sales Tax Express

Subject: Update Version 14.12

Dear TaxTime USA, Inc. Customer,

IMPORTANT - This update MUST be loaded prior to preparing Annual Returns.

This update changes how we calculate on the Annual Return the Sales, Use and Purchase Use Tax amounts. In prior years our software added up all the monthly and/or quarterly return tax due amounts as calculated on each monthly/quarterly Worksheet prepared during the year. The State has informed us that these tax amounts must now be calculated based on the Taxable Amounts shown on the Annual Return; this may lead to penny(s) rounding amounts due or overpaid. The State realizes this may result in rounding with a few cents being overpaid or underpaid and has told us that they do not send bills or refunds for amounts less than $1.

Tax Collected in Gross Sales:
If you entered any amounts for Tax Collected in Excess in the monthly screens they were not to be paid until the filing of the Annual Return and will be shown on line 8.

E-filing:
The Annual Return can be e-filed using our software and is included in the e-filing service agreement. If you will be e-filing the Annual Return, please fill in the necessary information at the bottom of the Annual Return screen, similarly to each monthly screen. After your careful completion and careful review of the return please click on the E-file button.

Annual filers:
To prepare an Annual Return for once a year annual filers please fill in the Sales & Use Tax Worksheet from the Select Screen drop down. Then select the Annual Return drop down from the Select Screen; your data will then auto fill. Do not enter your annual data directly on the Annual Return screen.

W-2/1099 attachments:
If you have W-2’s or 1099’s to also send to the State but are e-filing the Annual Return you must paper file those forms. We have provided Form 477 with this update and can be accessed from the Report menu. Select Report, then select W-2/1099 Transmittal Form. Select either you as the Preparer if you plan on filing on behalf of your clients, or Client if each client will be sending in their own W-2/1099’s. Then use the drop down arrow to select all the files in Part 4 that are part of the filing. Be sure to also fill out the rest of Part 1. Part 2 and 3 are not necessary to be used. The mailing address is on the form. Print the transmittal form and attach all necessary W-2/1099’s.
